The role of the Gallery and Projects Assistant will mainly ensure that the gallery, partnerships and services run effectively and efficiently. This includes overseeing key administrative tasks and work plans; facilitating and coordinating exhibitions and events; supporting and implementing marketing, communication, and development initiatives. This position reports to the Director and works closely with all staff members and artists.
Essential Duties:
1. Administrative Support
● Coordinate organizational office requirements and other facility needs.
● Supports the bookkeeper by processing income, bills, and invoices; monitoring
● Greet gallery visitors and answer questions about artwork on display.
● Maintain and manage databases, mailing lists and archives
● Assist with mass mailings and correspondences.
2. Exhibitions
● Prepare contracts and other supplemental material for exhibiting artists.
● Oversee the coordination of the installations and de-installations; serve as a
point of contact for artists as needed.
● Direct the preparation of the gallery for new exhibitions.
● Recruit, schedule, and direct installation.
● Procure supplies and fabrication while adhering to budgets.
● Coordinate shipping and receiving for exhibition artworks and supplies.
● Process incoming exhibition proposals for review.
● Prepare and sets-up Gallery for events.
● Assist in coordinating outreach programs related to exhibitions.
● Solicit In-kind sponsorship requests related to exhibition needs.
3. Communications and Public Relations
● Produce and distribute promotional materials.
● Implement social media strategies.
● Update Gallery website.
● Maintain an archive of promotional materials and media articles.
ESSENTIAL SKILLS AND EXPERIENCE:
● A Self starter and motivated individual.
● Experience working in a contemporary art gallery, museum, or similar environment is preffered.
● Strong computer skills: Canva, Microsoft Office Suite, Adobe Creative Suite, and working knowledge of database programs.
● Strong organizational and problem solving skills.
● Thorough attention to detail.
● Strong writing and communication skills.
● Ability to work collaboratively as well as independently, interacting in a professional manner with artists, patrons, vendors and co-workers.
● Available to work occasional evenings and weekends.
● Throughout all work endeavors, a grounding commitment to the gallery’s mission of presenting exceptional new art to as broad an audience as possible.
Contract: This is a one-year ‘Contract for Service’ that has the possibility of being renewed for another year.
Payment: Monthly fixed retainer + % on sales.
Working Hours: The work schedule is generally forty (16) hours per week. A flexible work schedule or additional work hours may be necessary, to meet the requirements of this job position, which could include evening hours and weekend work.
The responsibilities and required interactions of this position are not conducive to remote work.
